Role Description:
The Senior Administrative Assistant provides high-level administrative support to the executive management team, including C-Suite leadership. This role is critical in ensuring seamless operation by managing schedules, coordinating meetings, and handling team logistics on-sites/off-sites. The ideal candidate is highly organized, proactive, detail-oriented, and excels at operating in a fast-paced environment. The role requires effective communication and the ability to handle sensitive information with discretion.
Duties & Responsibilities:
Executive Support
- Provide high-level administrative support to C-Suite executives including calendar management, travel coordination, and meeting preparation
- Prepare and edit correspondence, presentations, documents as needed
- Coordinate and schedule internal and external meetings, board meetings, advisory board sessions, and investor calls
- Manage expense reporting and reimbursements for senior leadership
- Handle confidential information with discretion and professionalism
General & Administrative Operations
- Support day-to-day office operations including vendor management, supply ordering, and facilities coordination
- Serve as a point of contact welcoming visitors in a friendly and professional manner
- Support HR, Finance, Clinical Operations teams with administrative tasks as needed
- Coordinate company events, team outings, and all-hands meetings
- Organize and maintain departmental files and records including updating SharePoint
Qualifications:
- Bachelor’s degree
- Minimum of 5+ years administrative experience supporting senior leaders; experience supporting multiple executives preferred
- Experience in biotech highly preferred
Desired Skills:
- Proficient in Administrative Assistance and Clerical Skills, with familiarity in managing schedules, records, and office operations
- Strong communication skills, both written and verbal, along with professional Phone Etiquette
- Experience in Executive Administrative Assistance, including managing confidential information and providing support to senior leadership
- Ability to prioritize tasks effectively, multi-task under pressure, and meet deadlines
- Proficiency with office productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Exceptional organizational skills and attention to detail
- Previous experience in a healthcare or biotechnology setting
