Position Summary:

The Senior Administrative Assistant provides high-level administrative support to the executive management team, including C-Suite leadership. As Diagonal scales and builds out its infrastructure, this role is central to keeping a lean, fast-moving leadership team operating seamlessly — managing complex calendars, coordinating board and investor engagements, and orchestrating high-stakes meetings and events. The ideal candidate is a seasoned executive partner who operates with autonomy and sound judgment, anticipates needs before they arise, and helps build the structure and processes that allow a growing organization to run smoothly. This individual handles sensitive information with discretion, embraces new technologies to work smarter, and thrives in a high-growth environment where priorities shift quickly and reliability is non-negotiable.

Duties & Responsibilities:

  • Provide high-level administrative support to C-Suite executives including calendar management, travel coordination, and meeting preparation
  • Serve as a highly trusted partner to executive leadership, providing responsive support during business travel, company events, and time-sensitive situations, including occasional availability outside standard business hours
  • Anticipate executive needs and proactively identify solutions to ensure seamless operations effective team support
  • Prepare and edit correspondence, presentations, documents as needed
  • Coordinate and schedule internal and external meetings, board meetings, advisory board sessions, and investor call
  • Own the logistics of high-density investor and industry conferences, including scheduling and tiering back-to-back meetings, securing rooms and accommodations, coordinating materials, and managing real-time changes as agendas shift
  • Manage expense reporting and reimbursements for senior leaders
  • Handle sensitive and confidential information with discretion and professionalism

General & Administrative Operations

  • Support day-to-day office operations including vendor management, supply ordering, and facilities coordination
  • Serve as a point of contact welcoming visitors in a friendly and professional manner
  • Support HR, Finance, Operations teams with administrative tasks as needed
  • Coordinate company events, team outings, and all-hands meet
  • Organize and maintain departmental files and records including updating SharePoint

Required Qualifications & Experience:

  • Bachelor’s degree with five to eight plus years of progressive Executive Assistant or senior administrative support, preferably supporting C-Suite executives within the biotechnology, or life science industry
  • Demonstrated commitment to and passion for an Executive Assistant career path, with a track record of serving as a strategic partner to senior leaders
  • Experience supporting multiple executives in a fast-paced, high-growth environment preferred
  • Experience supporting executives through periods of significant organizational growth, transition, or increased external scrutiny strongly preferred; familiarity with board, investor, and public-company process a plus
  • Ability to build trusted relationships across all levels of the organization and exercise sound judgment in handling sensitive matters
