Job Description Summary

This role is based in Dublin, Ireland. Novartis is unable to offer relocation support: please only apply if accessible. Novartis cannot sponsor visas for these locations.

We operate hybrid working in Ireland, with the expectation of 12 days a month onsite.

The Project Manager will be responsible to provide program/project management and operational enablement support to the creative, production strategy and enablement team, ensuring key workstreams are organized, documented, and progressing effectively. This role strengthens governance, demand management consistency across TAs, and cross-team alignment without replacing individual workstream ownership.


Job Description

Key Responsibilities:

  • Governance & Process Optimization: Document current-state workflows and define future-state improvements across key ways of working with in Ops strategy & enablement team. Support clarity of ownership, decision rights, and RACI across operational team members. Ensure clear documentation of interdependencies and handoffs across teams are being outlined
  • Demand Management & Intake Consistency: Support standardized processes for capturing, reviewing, and prioritizing demand. Reinforce intake discipline, prioritization frameworks, and demand forum structures. Enable visibility and alignment on workflow expectations and execution flow
  • Web Roadmap & Rally Conversion Coordination: Support coordination of web roadmap initiatives (e.g., Rally Conversion, UEF cutover, optimization efforts). Track key decisions, dependencies, and cross-team sequence. Translate outcomes into clear guidance for Ops Strategy & Enablement and stakeholders
  • Operating Model Gap Analysis (Studio Ops & Agencies): Partner with Ops Strategy & Enablement leadership, Studio Ops, and agency stakeholders to identify gaps, overlaps, and friction points. Document recurring issues and improvement opportunities. Support input into operating model refinement and alignment discussions
  • Forum & Governance Cadence Management: Coordinate Ops Strategy & Enablement roundtables and governance forums (agenda, topics, outputs). Capture decisions, actions, ownership, and follow-ups. Ensure meetings are outcome-driven with clear accountability tracking
  • Cross-Functional Program Coordination: Act as a central coordination point across Ops Strategy & Enablement, Studio Ops, governance partners, agencies, and internal stakeholders. Support tracking of key initiatives, ensuring alignment and transparency. Ensure decisions, dependencies, risks, and next steps are clearly documented and communicated
  • Ops Strategy & Enablement Resource Management: Support the development and maintenance of core operation materials, including role definitions, onboarding content, and capability documentation. Ensure consistent articulation of “who we are / what we do” across stakeholder-facing materials. Maintain structured, accessible documentation to support onboarding and ongoing alignment


Essential Requirements:

  • Bachelor’s degree or MBA in a related field is required

  • 5+ years of experience in Commercial Operations, Sales and Marketing, with multi-functional experience in pharmaceutical or biotech industries or relevant consulting/agency experience

  • Experience in program coordination, operations, or marketing operations with understanding of pharmaceutical-specific marketing tech, CRM platforms, and digital tools to streamline workflows and maintain compliance. Knowledge of MarTech platform business operations, for example, Adobe, Salesforce, Veeva, CMS, or DAMS

  • Strong organizational and documentation skills with high attention to detail

  • Excellent communication and stakeholder management skills, with demonstrated success navigating complex, matrixed organizations and leading multiple cross-functional workstreams.

  • Proven track record in managing end-to-end marketing strategy & plan execution including campaign planning/execution, content development, approval and deployment and optimization

  • Thorough knowledge and implementation experience of MLR standards and process to successfully support marketing execution
  • Experience in managing agencies, vendors, and third-party partners to drive process change and ensure projects are delivered on time and within budget and ensure quality

Desirable Requirements:

  • Knowledge in marketing planning, experience in operations, marketing execution, and MLR process & standards is highly preferred
  • Team management experience, project management expertise, and change management skills
