Job Description

We are seeking a highly organized and adaptable floating Executive Assistant to provide high-level administrative support to multiple organizational stakeholders. In this role, you will work across a mix of the Executive Assistants and responsible for seamlessly transitioning between various executives and senior leaders, providing administrative, logistical, and organizational support. The ideal candidate will possess exceptional communication skills and be adept at managing competing priorities with discretion and professionalism. This role will be supervised by the Human Resources Business Partner.
 
Key responsibilities include, but are not limited to:
 
  • Calendar Management: Manage calendars for multiple stakeholders including scheduling internal and external appointments, confirming meetings, and coordinating with other assistants.
  • Travel Coordination: Coordinating extensive travel arrangements including flights, visas/passports, cars, hotels, and other reservations.
  • Meeting Support: Booking conference rooms for internal and external meetings; meeting and greeting guests, and registering visitors in the system.
  • Expense Reporting: Completion of detailed expense and out of pocket reports including tracking receipts and project codes.
  • Document Management: Maintaining and organizing box folder files.
  • Event Planning: Organizing department team building events and dinners.
  • Ad-Hoc Support: Working on various ad-hoc projects related to each stakeholder.
 
Qualifications:
 
  • Bachelor’s degree in Business Administration, Office Management, or experience commensurate with the role.
  • Proven experience as an Executive Assistant supporting multiple stakeholders in a dynamic environment.
  • Proficient in Microsoft Office and Google Suite; familiarity with Concur is preferred.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong written and verbal communication skills, with a high level of professionalism and discretion.
  • Resourceful problem solver with strong attention to detail and accuracy.
